Privacy Policy

What information we collect, how we use it, and what we don't do with it. The short version: we collect what's needed to deliver your order, we don't sell or share data, and your scanned content is yours alone.

01 / Overview

Film Preservation Lab (“FPL,” “we,” “us”) collects only the information needed to deliver your order and run a small business. We don’t sell data, we don’t share it with advertising networks, and we don’t use your scanned content for anything other than producing your delivery.

This policy applies to filmpreservationlab.com, the FPL Vault, and all customer interactions including email, order forms, and shipping. By using our site or placing an order, you agree to this policy.

This is a working draft. Final policy will be reviewed by counsel before launch.

02 / What we collect

Order information

When you place an order or send an inquiry, we collect: name, email, phone (if provided), shipping address, billing address, payment information (handled by Stripe — see below), and the details of your order (formats, tiers, quantities, add-ons).

Project content

The physical media you ship and the digital files we produce. This is your content — see Section 05 for how we handle it.

Site analytics

Aggregate, anonymized data about how the site is used — page views, time on page, referrer source, rough geographic region. We use this to improve the site, not to target individuals.

Communications

Email correspondence, inquiry-form submissions, and customer-support history. We retain communications for record-keeping and to provide consistent service across long projects.

03 / How we use it

  • To process and fulfill your order — quotes, payment, shipping labels, intake reports, condition documentation, scanning, delivery, and return shipment
  • To communicate with you about your project (order updates, condition reports, quality questions, delivery notifications)
  • To respond to inquiries and provide customer support
  • To send periodic updates about your order or our services (you can opt out of non-transactional communications anytime)
  • To generate aggregate, anonymized statistics about service usage and demand
  • To comply with legal obligations (tax records, court orders, etc.)

What we don’t do with it. We don’t sell your data, rent it, share it with marketing partners, or use it to train any kind of model. We don’t track you across other sites. We don’t profile you for advertising purposes.

04 / Sharing & third parties

The third parties we work with, and what each gets:

  • Stripe — payment processing. Handles credit card numbers and billing. We never see your full card number; Stripe processes payments under their own privacy policy.
  • FedEx and UPS — shipping. Receives your name and shipping address to print labels and deliver your media and digital backups.
  • Email and hosting providers — operational infrastructure (email delivery, file storage, Vault streaming). All vendors operate under standard data-processing agreements.
  • Counsel and accountants — for tax filing, legal review, or compliance. Limited to what’s required for the specific purpose.

We do not share your information with marketing networks, advertisers, data brokers, or any party not listed above. We don’t sell customer lists. We don’t share your data internationally except where required for shipping.

Subcontractor scanning partner: as documented on our about page and our equipment page, the physical scanning step is currently performed by a dedicated partner lab. That partner receives your physical media and the order context required to scan it, but no payment information or other personal data beyond what’s on the shipping label and intake report.

05 / Your scanned content

The film, video, photos, and digital files we handle on your behalf are your content. We treat it accordingly:

  • We don’t share, publish, or use your content without explicit written permission
  • We don’t use it to train any kind of model — AI or otherwise
  • We don’t analyze it beyond what’s needed for color correction and QC
  • We don’t sell or distribute it, ever
  • Files are stored on encrypted infrastructure; access is limited to operators working on your project

Marketing samples. With your written permission only, we may use anonymized frame samples or before/after comparisons in marketing materials. This is opt-in and rare; we never assume permission.

Retention. Master files are retained for the period documented in your tier (1 year free at every tier with the Vault, longer with paid Vault subscription or LTO add-on). After that, files may be removed from our active systems unless you’ve explicitly extended retention.

06 / Data storage & security

Order and account information is stored on encrypted infrastructure with access-control logging. Physical media is held in a secured facility during processing.

File transfers to and from the Vault use authenticated, encrypted connections. Backups are mirrored across redundant storage with checksum verification.

We follow industry best practices for security but don’t make absolute guarantees about any system. If we ever experience a data incident affecting customer information, we notify affected customers within 72 hours of confirming the incident, with specifics about what was affected and what steps we’re taking.

07 / Cookies & analytics

The site uses minimal cookies — primarily for keeping you logged into the Vault and remembering your shopping cart during checkout. We don’t use third-party tracking cookies or advertising pixels.

Site analytics are privacy-preserving and aggregate-only. We use them to understand which pages get traffic and which need improvement, not to identify or profile individual visitors.

08 / Your rights

You have the right to:

  • Access the personal information we hold about you
  • Correct any inaccuracies in that information
  • Delete your account and associated data (subject to legal retention obligations like tax records)
  • Export your data in a portable format
  • Object to specific uses of your data
  • Opt out of non-transactional communications

To exercise any of these rights, email privacy@filmpreservationlab.com with a description of what you’d like done. We respond within one business day.

Customers in the EU, UK, and California have additional rights under GDPR, UK GDPR, and CCPA. We honor those rights regardless of where you’re located.

09 / Children

Our services are intended for adults (18+). We don’t knowingly collect information from children under 13. If you believe a child has submitted personal information to us, contact us immediately and we’ll delete it.

10 / Changes

We may update this policy over time. Material changes will be communicated to existing customers via email. The date at the top of this page reflects the most recent revision.
